This position will mainly assist the firm advisors with workflow management, while delivering a superior experience to the firms High Net Worth clients. This role will provide client relationship support by ensuring all client needs are addressed, answering client questions, prepping advisors for client review meetings, and resolving other issues and tasks as necessary. The candidate should be tech savvy and always thorough in their work. Primary Job Duties:
  • Responsible for ensuring all client needs are promptly and accurately addressed; serve as front office support, including welcoming clients and visitors to the office; politely answer telephone calls; address calls as appropriate or take detailed messages as needed
  • Responsible for accurately answering questions from clients
  • Review and respond to all electronic correspondence; promptly address issues and concerns with professionalism and attention to resolution
  • Maintain up-to-date client data in the contact management system and contact database for purposes of reporting, scheduling, fee tracking and marketing
  • Create and maintain client files, prepare client forms and reports and originating correspondence as requested by the firm’s Advisor
  • Prepare deposits and scan incoming checks; process receipt of physical security certificates; maintain Time Stamp log; create and accurately process ACH’s and money transfers, journal entries, payments via check to outside vendors
  • Establish and maintain client files to meet regulatory and compliance requirements, create and produce reports and databases for maintaining files and record keeping
  • Create and close accounts; add power of attorney and trading authority as applicable, link life insurance and annuity accounts, complete client registrations and proactively address and follow-through on client service requests
  • Properly dispose of client information; ensure appropriate handling of all outdated and unnecessary information through shredding on a regular basis
  • Oversee maintenance of all common office equipment ensuring proper operational order for the practice; and report any issues to the facilities manager. Maintain office supplies, ensuring necessecities like items for the break room, are on hand at all times

Education & Experience:
  • Bachelor’s Degree preferred, completed college coursework in conjunction with work experience will also be considered
  • 1-2 years’ experience in finance or any related field, including billing, accounting, purchasing, mathematics, etc.
  • Series 7 and 66 preferred, not required
  • Series 65 preferred, not required
  • Experience with Redtail, Orion, Morningstar, MoneyGuide Pro, and Wells Fargo Advisors is preferrable
