POSITION SUMMARY

Invex Financial, located in Issaquah, Washington, is seeking an Executive Assistant to provide a high level of support to the Managing Director and their thriving wealth management firm.

The Executive Assistant plays a critical role in the overall success of the firm by ensuring the Managing Director is focused on the key areas of her business which include, business development, client retention, and portfolio management. The position requires an experienced, organized and detailed individual who is self-motivated, remarkably resourceful and has a passion for executive administrative support. At Invex Financial, the Executive Assistant role will manage all traditional executive assistant duties including scheduling, managing calendars, drafting and proof-reading correspondences, managing emails and calls, and diligently recording all agreed upon action and follow up items needed from the Managing Director to ensure her commitments are fulfilled.

Essential Duties and Responsibilities:

  • Provide direct support to Managing Director to include both personally and professionally: scheduling, travel arrangements, meeting preparation, and other daily administrative support tasks and duties as assigned
  • Conserve Managing Director’s time by managing the directors schedule, reading items sent to the director, researching items, routing correspondence; drafting letters and documents; collecting and analyzing information; initiating phone calls and e-mails
  • Prioritize daily, short-term, and long-term tasks for the Managing Director to ensure Managing Director is very focused on the business growing and improving
  • Maintain a daily direct line of communication with Managing Director to ensure Managing Director is up to date with all items pending and in motion tasks of Managing Director and all team members; consistent follow-ups are required for items which require Managing Director's attention
  • Update client information in the approved CRM systems
  • Plan and execute events for the company or personally such as social, client or prospect events, client educational seminars, and special events for special clients;
  • Maintain the company literature, brochures, and website so they are current; Write textual content for digital marketing campaigns and website; Assist in Process company mailing, e-mailing campaigns, and online branding efforts
  • On-going management of digital touch points, including social media accounts (Facebook, Twitter, LinkedIn and Google Plus).
  • Assist in monitor inventory of office supplies and the purchasing of new materials

 
Required Qualifications:
  • Bachelor or Associates degree preferred
  • 2 - 3 years professional experience as an Executive Assistant
  • Understanding of Business and Personal Financial Management
  • Intermediate to advanced knowledge of Microsoft suite, and a willingness to learn new systems commonly used by the firm
