Operations and Administrative Manager

We are seeking an Operations and Administrative Manager to join our client’s successful and growing financial service team, located in Westlake, Ohio. As the Operations and Administrative Manager, you will be empowered to assist the President/Senior Financial Advisor with workflow management while simultaneously delivering superior client service. This lead position within a growing team will directly impact the ongoing success of our client’s advisory firm.

A highlight of the essential duties and responsibilities include, but are not limited to:

Practice Management:
  • Interactive management of firms President’s schedule to include calendar management, travel coordination, client meeting prep and accountability for his task completion ongoing
  • Oversee maintenance of all common office equipment ensuring operational order for the practice
  • Address all inbound phone calls to ensure timely response and required action items are managed timely and efficiently

Client Experience:
  • Provide exceptional customer service through positive client interaction; exceed the client’s overall expectations of customer service; answer questions and provide readily available information to clients, if requested and as allowable, as it relates to servicing their accounts
  • Service existing clients and assist with on-boarding new clients; initiate, respond to, and execute client requests, as required
  • Service accounts; handle client-initiated requests, changes, transactions, disbursements, etc.

Wealth Management:
  • Prepare materials for client meetings schedule with the Firms Financial Advisors
  • Performs documentation of client profile information in our master reference system and all associated client contacts

Required Qualifications:
  • 1-2 years’ experience in finance or related mathematical centric field
  • Executive Administrative support experience to include daily schedule management
  • Proficient in technology basics, advanced in Excel
